1. INTRODUCTION


1.1 Purpose

 

The purpose of the search engine optimization process document is to provide the methodology by which:

 

a. An agreement between the customer and Search Engine Genie on the Requirements
is arrived at.

b. The agreement is Reviewed and signed off.

1.2 Scope

 

The scope of this process is applicable to all search engine optimization projects of Search Engine Genie Company.

 

1.3 Goals:

 

a) The approved proposal /SOW forms the baseline for start of the search engine optimization tasks and website management tasks.

 

b) Search Engine optimization project plans , schedules, Search engine genie work products are modified in accordance with the changes to customer requirements.

PROCESS ACTIVITY – Customer Search engine optimization Engagement Process


2.1 Entry Criteria:

1. Responsibility for proposal preparation is identified

 

2. RFP’s, Tenders, and other client documents

(Leads generated by Marketing team/Project representative Search engine genie's representative (indicating a possibility of an order)

3. Skilled and experienced Resources and necessary funding is provided

4. Tools for carrying the Customer search engine optimization engagement related tasks.

5. The concerned persons (Marketing, and the technical team) are training on processes, and the technical work (namely providing design solution, estimations etc)

 

2.2 Task Description

 

The Customer Engagement Process involves the following:
1. Carrying out discussions with the customer in order to understand the customer’s complete requirements.
2. Carrying out analysis and discussions with the Project team, in order to propose a solution.
3. Estimating the efforts, duration, cost, and possible deliverables
4. Documenting the Requirements in the form of an Agreement, which is signed off by the client.

2.2.1 Sources of Initiation of Proposal

The initiation of proposal activity is carried out by the Business Development Team and the Senior Management.
The Request for Proposal may be received and initiated through any of the following ways:

• Personal Contacts
• Industry Knowledge / Experience
• Website and Internet search
• E-mails, mailers, Telephonic calls, etc.

 

2.2.2 Preparation of Proposal

 

The Proposal is an Agreement document containing details of the Proposed solution to the Customer’s requirements. . It contains the following:

? Information about Search Engine Genie company and Customer: This contains a brief write-up on Search engine genie and a write-up on the client. The later may be taken from the client’s web site or brochures / articles available.

 

? Scope of Work: Precise information related to what will be covered in the current application is mentioned.

 

? Details of Proposed solution: The details of the proposed solution includes the technical details (namely Proposed Architecture, interfacing software for the Architecture etc) provided by the

 

Project Leader

? Schedules and Duration: The schedules of the implementation of the system are provided. This is arrived at by the Project Leader while carrying out discussions with the business development team. The delivery head and business head review the schedules.

 

? Commercial Terms: The details of the cost estimations are covered under the field ‘cost estimation’.

 

? Deliverables: The details of the deliverables which will be made to the customer are provided. These details are worked out by the Business Developed team while carrying out discussions with the Project manager / Delivery head..

 

? Risks and Mitigation Strategy: The details in this section cover the risks associated with the implementation of the proposed system and Search engine genie’s methodology to handle the same.

 

? Assumptions: The assumptions which have been made in order to meet the schedules indicated and the provide the deliverables are indicated in this section:
The assumptions include ‘turn around times’ of reviews and sign off by the client (these aspects may have been discussed in earlier meetings, they are consolidated in this section of the proposal), The reviews that is required to be made by the customer will be related both technical solutions proposed and the business related aspects.

Alternatively a Proposal could also be a Tender. While preparing a Tender Proposal, information that is required may include the following:

? Commercial terms

 

Any additional information that is required by the customer will also be submitted along with the proposal or at the time frame specified by the customer.

The detail of the contents of the proposal is provided below.

 

2.2.3 Technical Solution and Project Estimation

 

The Project Estimation is concerned with estimating:

a) the size of the application to be developed

b) the efforts needed for development, design , testing and deployment

c) and the duration of the project

Once the appropriate Leads/contacts have been generated/made by the Search engine optimization Business development team, discussions are carried out by the other team members and a representative of the project team who is knowledgeable on the domain and the technology. Discussions are also carried out with the customer in order to clarify necessary points; alternatively the clarifications may be done through e-mail. Once an understanding is reached on the nature of the customer’s requirements, the tasks related to working out the technical solution, and the corresponding estimates are commenced.

 

The technical solution which is arrived at by the representatives of the project team includes:

a. Proposed architecture (keeping in mind the cost constraints, and the technical feasibility of the solution)
b . Expected performances, and possible constraints

Based on the proposed solution, the complexity of the proposed application, the estimated number of modules etc the size estimates are worked out.

Effort and Duration Estimation

 

The Software size estimates are translated to the total efforts which are needed for the application to be developed and deployed.

 

1. The initial modules expected and their complexity (In terms of simple, medium, and complex ) is worked out.

2. The estimated efforts in terms of man hours/man days for each level of complexity is worked out.

3. Associated with each level of complexity, the efforts needed for development of that module is also indicated. During the course of preparing the basis for identifying the complexities and corresponding efforts, the organizational estimations database and the past experience of the persons are used.


The total estimated efforts for the developmental tasks is arrived at in terms of Manhours/mandays. The efforts which are required for complete Search engine optimization and search engine marketing tasks namely: keyword research, website redesign, adding tags, link building etc are calculated by distributing the efforts needed in terms of a certain percentage distribution.

 

Schedules and Resource Estimation

 

Estimation of number of people needed for the Project, their skill levels, etc. is done by the Project manager while carrying out discussions with the head of the department. While working out the resource details, the expected time span of the project (expected by the customer) is kept in mind.


Cost Estimation

 

Based on the duration of the project, skills required for carrying out the Project, Customer requirements, etc. the cost is estimated. While working out the cost estimates, the Financial representative may also be involved.

 

All the estimation details are worked out by the Project team while carrying out discussions with the Business Development Team and the Business Head.

Preparation of Estimation Work Sheet

 

a. The estimation work sheet is prepared by the Project Leader. It contains Details technical platform, the modules estimated, their complexity, the efforts needed for each level of complexity, total efforts needed for the development, percentage distribution across the life cycle stages/tasks percentage of effort for Project management etc.

 

b. Review of estimations : Once the estimations have been worked and reviewed by the Technical persons, an adequacy review is carried out by the head.


2.2.4 Review and Signoff of proposal

 

a. The Final proposal is reviewed by the Business development head, (the COO as appropriate) in order to ensure that all necessary elements have been addressed.

b. Changes which result as a result of reviews are incorporated into the proposal.

c . The communicated proposal is deposited in the organizational repository

 

Baselines for Search Engine Optimization tasks

 

The signed off proposal or Statement of work forms the input for
Project planning and search engine optimization tasks. Once the proposal or Contract has
been signed off , the project is initiated. The following tasks are carried out
before commencement of Planning tasks:

 

a. Review of the signed off proposal in order to understand the commitments
made to the customer

b. Detailed discussions are carried out between the concerned delivery head
and the project manager /Project leader in order to understand the nature of
search engine optimization requirements and commence the planning tasks and the search engine optimization tasks.

 

Changes to Proposal

 

The proposal document is a configurable item and changes to it are controlled, in accordance with the ‘Change control procedure’.

 

1. The changes to proposal may arise as a result any of the following:

 

a. Changes to project scope
b. Changes to deliverables
c. Changes to the SEO requirements
d. Changes to cost or schedules

 

The changes may be initiated by the customer or may result as a result of discussions between the project team and the customer. The changes, which are proposed, are analysed and its impact studied (by the BD team and the project team). The necessary changes are made to the proposal, and the amended version is released for approval.

 

2. Changes to SEO Plans and search engine optimization work products: The Impact of the changes ( to proposal ) on software project’s plans and schedules are analysed. The impact of the changes to Sw requirements (if any), design and other work products are analysed. The appropriate changes are made to plans and SW engineering WP and tasks.
